Zoom Meeting Controls

These controls assume that you will be using the Zoom App, if you wish to use the Web client instead then please note that some functions are not available unless using the desktop app. However most of the basic functionality will be available. In addition, these instructions have been written for users running Zoom on Windows. While the controls should mainly be the same on Mac and Linux, some controls may be in slightly different places so you may also need to refer to the Zoom website for guidance.

In most cases, you will be streaming a webcam and a screen share from your computer and so you will typically use Zoom under the following configuration:

  1. Screen Share  - Your screen share which you can use to show slides, videos and any other presentation material.
  2. Webcam Feed - Shows the webcam feed of the person who is currently speaking
  3. Presentation Controls - These are the controls that you can use during your workshop/presentation. More information on each of these controls will be provided shortly.
  4. Chat Panel - This is the panel that opens when the chat button is pressed in the presentation controls (under More).
    • You can chat to everyone who has attended your workshop.
    • You can also chat with a specific participant.
    • You can also chat to everyone in the waiting room (in case you need to let them know that the workshop will be ready in 5 minutes)
    • During the workshop, you can also control who your participants are allowed to chat with and even turn the chat off if needed.
  5. Participants Panel (ATTENDEE MANAGEMENT) - This is the panel that opens when the participants panel is pressed in the presentation controls. When opened you will see a list of all the participants that are attending your meeting.
    • If you hover over a participant, a mute button and a more button will appear
      • Pressing the mute button will mute the participant.
      • Pressing the more button will show a range of management options for the participant including removing them from the meeting if they are being disruptive.
    • There is the Mute All button which you can press to mute ALL participants.
    • Then under the … button (may also be called more), you have a number of different options to manage ALL the participants during the meeting including:
      • Ask all to unmute - This is great if you want to initiate some form of discussion across all of the participants.
      • Mute participants upon entry - This ensures participants don’t disrupt your session as they enter into the workshop.
      • Allow participants to unmute themselves - Disabling this is helpful if you need to take control of the workshop.
      • Allow participants to rename themselves
      • Enable Waiting Room
      • Lock Meeting

During your presentation, you may wish to use the following controls:


  1. Microphone and Webcam - Here you can turn your microphone and webcam on or off as well as configure your device settings for the webinar.
  2. Security - Here you can control what the participants are allowed to do in your meeting including:
    • Sharing their screen (disabled by default)
    • Chat (enabled by default)
    • Rename themselves (enabled by default)
    • Unmute themselves (enabled by default)
    • Start Video (disabled by default)
    • Annotate on shared content (enabled by default)
    • There is also the option to Suspend Participants Activity which will disable all the webcam feeds, mute the participants and stop any screen shares from participants. This is to be used if you need to regain control of the workshop.
  3. Participants - Opens the participants panel shown earlier.
  4. New Share - Allows you to replace your current screen share with a new screen share. This is useful if you need to switch between different application windows.   5. Pause Share - This allows you to pause your current screen share if you need to access sensitive information without people being able to see it
  6. Annotate - This allows you to make notes and draw on your screen share. This is useful if you need to highlight information within your screen or slides.   7. Remote Control - You can allow someone else to take control of your mouse and keyboard. We would advise not to use this feature but more information on how this works can be found here https://support.zoom.us/hc/en-us/articles/201362673-Requesting-or-giving-remote-control
  8. More 
    • Chat - This opens the chat panel shown earlier.
    • Reactions - Allows you to share a non-verbal reaction with the group.
    • Share computer sound - This allows you to enable/disable the sharing of audio from your computer. This should be enabled if you need to play any videos or audio.
    • Optimize For Video Clip - This allows you to enable/disable this setting. This setting should be enabled if you need to share video content in your workshop.

There are also other settings under More but in most cases, you shouldn’t need to be concerned about any of them.

When you want to end your screen share session, press the stop share button directly under the presentation controls
